Frequently asked questions

Choosing an ERP

What is an ERP system, and does my business need one?

An ERP (enterprise resource planning) system puts your accounting, sales, purchasing, inventory, HR and reporting in one connected system instead of separate spreadsheets and tools. If you re-enter the same data in several places, can't see stock or cash in real time, or are outgrowing basic accounting software, an ERP is usually worth a conversation.

What is the difference between ERP and accounting software?

Accounting software records money coming in and going out. An ERP includes accounting, but also connects it with inventory, purchasing, sales, CRM, manufacturing, HR and projects, so every department works from the same live numbers.

Which ERP is best for a small business in Kenya?

It depends on your size, industry and budget. ERPNext and Odoo suit many small and growing Kenyan businesses: ERPNext is sold in fixed, published tiers from Starter, while Odoo lets you start with one app and add more as you grow. A short scoping call lets us recommend the right one honestly, because we implement six platforms and have no reason to push one.

Which ERP is best for manufacturers?

SYSPRO and Sage X3 are built specifically for manufacturers and distributors. ERPNext, NetSuite, Odoo and Dynamics 365 Business Central also bring real production planning, bill-of-materials and quality capability. The right fit depends on how complex your production is and how large you are. See our manufacturing page.

Which ERP suits a group with several companies or subsidiaries?

NetSuite is built for multi-subsidiary, multi-currency consolidation, and Dynamics 365 suits larger organisations on the Microsoft stack. ERPNext supports multiple companies at its higher tiers, and Odoo's Custom plan includes multi-company support, which suits smaller groups.

ERPNext or Odoo: which should we choose?

Both are open-source and modular. ERPNext ships dedicated industry modules (SACCO, Education, Healthcare, Hotel, Agriculture and more) and is sold in four fixed tiers. Odoo is adopted one app at a time and has a large app marketplace; for some sectors, such as education and healthcare, it relies on marketplace apps rather than a built-in module. We'll compare them against your processes during scoping.

Open-source or licensed ERP: what is the difference?

Open-source ERPs such as ERPNext and Odoo Community have no per-user licence fee, so you pay for implementation, hosting and support. Licensed platforms (NetSuite, SYSPRO, Sage, Dynamics 365 and Odoo Enterprise) charge per user or per module but bring a vendor roadmap and enterprise features. Neither is cheaper in every case, and the total cost over several years is what matters.

Should we choose cloud or on-premise?

ERPNext, SYSPRO and Sage can run in the cloud or on your own servers, and Odoo can run on Odoo Online, Odoo.sh or on-premise. NetSuite is cloud-native, and Dynamics 365 is delivered from Microsoft's cloud. The right choice depends on your IT policy, connectivity and growth plans, and we'll advise during scoping.

Cost and packages

How much does ERP implementation cost in Kenya?

It depends on the platform, number of users and modules. For ERPNext, Gegohub publishes fixed tiers with implementation from KES 150,000 (Starter) to KES 1,500,000 (Professional), Enterprise quoted after scoping, plus annual support and hosting. Other platforms combine a per-user licence with implementation. See our pricing page and the dedicated pricing page for each platform.

Do you publish your prices?

Yes. ERPNext tiers and an interactive calculator are on our pricing page, and Odoo has its own implementation calculator. For NetSuite, SYSPRO, Sage and Dynamics 365 we show each vendor's published price structure for context, clearly labelled as not a Gegohub quote, and confirm your exact number after a short scoping call.

Is there a free ERP?

ERPNext and Odoo Community have no licence fee, and Odoo offers a free single-app plan. You still need implementation, hosting, training and support, and for most businesses those make up most of the real cost. "Free" describes the licence, not the project.

What costs extra beyond the base package?

Specialised add-on modules, extra users beyond your tier, extra companies and integrations such as M-Pesa. In our ERPNext calculator, extra users are KES 2,500 per user per year and extra companies are KES 130,000 each. The calculator shows every item before you talk to us.

What is included in the four ERPNext tiers?

Starter covers up to 5 named users, Business up to 15, Professional up to 30 and Enterprise 50 or more. All tiers include accounting, selling, buying, inventory, CRM and basic reporting. Higher tiers add projects, assets, helpdesk, manufacturing, quality and maintenance, and Enterprise adds multi-company setup, advanced dashboards and workflow automation. See the tier-by-tier table.

Implementation and support

How long does an ERP implementation take?

A small, standard rollout can take a few weeks. Multi-department, multi-entity or heavily customised projects take several months. We confirm a realistic timeline after scoping, because it depends mainly on how much data you migrate and how much needs to be customised.

What happens during an implementation?

We start by reviewing how your business runs today, then recommend a platform, configure and customise it to your workflows, migrate your data, train your team and support you through go-live. After that, ongoing support keeps the system reliable. See our services for each step.

Can you move our data from our old system?

Yes. Every implementation includes a data migration path: smaller packages get import templates for a clean start, growing businesses get full historical data migration, and larger deployments get full migration plus integration work. Anything beyond a package's standard scope is quoted separately so there are no surprises.

Can the system be customised to how we work?

Yes. Our engineers build custom reports, workflows, extensions and integrations on your chosen ERP, using modern stacks such as Python/FastAPI, .NET Core and React. If a platform doesn't offer a module you need natively, we can often build it.

Will our staff be trained?

Yes. We run role-based workshops and live sandbox simulations so your finance and operations teams learn their day-to-day tasks and the reporting tools, from the first week rather than months later.

What support do we get after go-live?

Every package includes ongoing support, from email and WhatsApp at Starter up to phone, priority response and a dedicated account manager at higher tiers, with response-time targets tightening from 24 hours to 4 hours. Bug fixes and patches are covered, and every hosting tier includes daily automated backups.

What if we outgrow our system?

ERPNext is organised in tiers so you can move from Starter towards Enterprise without switching systems, and Odoo lets you add apps as you grow. If your needs change more fundamentally, we can advise on moving to a larger platform such as NetSuite or Dynamics 365.

Kenya and compliance

Can the ERP accept and reconcile M-Pesa payments?

Yes. M-Pesa payment integration is part of our localisation work for Kenyan deployments, and it is a priced add-on in our ERPNext calculator.

Is the system ready for KRA eTIMS, VAT and withholding tax?

Yes. We localise deployments for eTIMS readiness, VAT and withholding tax compliance and the statutory reporting formats regulators expect, and we keep systems upgraded as vendors release new versions.

Can it run payroll for Kenyan staff?

ERPNext, Odoo and the other platforms we implement have HR and payroll modules, and we configure them for Kenyan statutory requirements. Tell us your payroll rules during scoping and we'll confirm exactly what is configured.

Can it connect to our other tools?

Yes. We integrate ERPs with M-Pesa, Power BI, SMS gateways, e-commerce platforms and third-party systems through APIs.

Do you work outside Kenya?

Yes. We are based in Nairobi and serve organisations in Kenya and across East, Central and West Africa.

Industry-specific questions

Do you have software for SACCOs?

Yes. ERPNext includes a dedicated SACCO Management module for member accounts, savings products and loan tracking, and Odoo can be configured for similar needs. See financial services.

Do you have a school management system?

Yes. ERPNext's Education module covers admissions, programs and courses, fee collection, attendance and assessments. Odoo can be configured for schools through marketplace apps. See education.

Do you have software for clinics and hospitals?

ERPNext's Healthcare module covers patient records, appointment scheduling, billing and consumables inventory, and Odoo offers marketplace healthcare apps. It covers the operational side of a clinic without the cost of a specialist hospital system. See healthcare.

Do you have software for hotels and restaurants?

Yes. ERPNext has Hotel and Restaurant Management modules, and Odoo offers a restaurant-mode point of sale plus marketplace hospitality apps. See consumer & hospitality.

Can you set up point of sale for a retail business?

Yes. ERPNext and Odoo both have point-of-sale modules, NetSuite offers SuiteCommerce for combined online and in-store retail, and Dynamics 365 Business Central covers standard retail scenarios. SYSPRO is not our first recommendation for pure retail. See retail.

Is there an ERP for agri-businesses?

ERPNext has an Agriculture module for crop cycles, land and yields, and Odoo can be configured similarly. Agri-processors with heavy production needs can also look at SYSPRO. See agriculture.

Do you support construction and property businesses?

Yes. ERPNext's project management, property, rental and fixed-asset modules, together with Odoo's project and field-service apps, cover multi-site tracking, budgets and asset registers. See construction.

Do you support non-profits and NGOs?

Yes. NetSuite has a dedicated edition for non-profits built around fund accounting, grants and donors, and ERPNext has a Non Profit module for smaller organisations. See non-profit.
